Modernizing and Automating a Jewelry Retailer’s Processes with an Enterprise System Integration
A jewelry retail business enabled visibility, automation, and efficiency by integrating its enterprise system with NetSuite.
Challenge
A fast-growing jewelry retailer had an omnichannel presence with 123 retail stores and shipped globally to 132 countries, and the company sought an integrated and automated system that offered better visibility and efficiency. The jewelry business had been using a mix of proprietary and homegrown solutions, which lacked scalability in line with consumers’ changing buying behavior. Industry-specific information like order profitability had to be calculated outside the system and after the fact due to variable product costs. For inventory, there was no system in place to manage consignment stock, track unit-specific costs, or calculate new product costs. Furthermore, the absence of integration between back-end systems and the e-commerce platform created data silos, while the reliance on manual entries and spreadsheets in warehouse operations underscored a pressing need for automation.
The jewelry retailer successfully consolidated onto a single enterprise platform, enhancing visibility, efficiency, and delivering a seamless customer experience across multiple shopping channels.
How We Helped
This business transformation, driven by a modern cloud ERP system, was tailored to meet the unique complexities and demands of the jewelry retail industry, filling critical functionality gaps in the existing systems. The client partnered with Riveron to implement NetSuite, creating a fully integrated and automated customer experience from checkout to delivery. The existing e-commerce platform, Magento, was seamlessly integrated with NetSuite, which allowed unit-specific costing and enabled digitized procurement, ordering, fulfillment, and invoicing. For new-product costing, the team implemented a system for made-to-order items calculating costs based on the components used to create each jewelry piece. This gave buyers on the website visibility to the exact price of the item before it is assembled. This technology extension ensured a smooth, omnichannel customer journey, providing a frictionless experience across all touchpoints.
Riveron’s team helped the client track, report, and manage global transactions of different stores operating as separate legal entities in NetSuite across owned inventory, consignment inventory, and jewelry received for repairs. Riveron designed a robust inventory management system to efficiently catalog, track, and record sales of consigned goods, eliminating manual processes.
Additionally, the team built an integration to a configurator, NetSuite Configure Price Quote (CPQ), to manage the serial-number tracking for finished goods, stones, and settings and facilitate the buying, tracking, and selling of items like watches that are identified by serial number. To enable real-time price adjustments, the team developed a special feature to compute price variances using the receipt barcode and actual weight of each item. This calculation feature also helped with automating the release of purchase orders for each component of complex jewelry pieces—such as rings, bracelets, and necklaces—that require multiple manufacturers. To streamline repair and warranty work, Riveron integrated the point-of-sale (POS) system with NetSuite, “tagging out” SKUs with active warranties.
Results
The implementation delivered significant benefits, including an integrated ERP and e-commerce system that supports automated costing, enhanced reporting, and advanced analytics. The company was able to streamline inventory operations, record all personalization requests within the systems, reduce manual labor, and minimize errors—while achieving a frictionless customer experience across channels. The company automated important, everyday processes in a unified systems landscape, including:
- creating purchase orders,
- authorizing sales order approval upon payment,
- generating e-certificates for authenticity,
- fulfilling items,
- generating invoices from fulfillment, and
- conducting exchanges and returns.
The flexible and scalable solution integrated seamlessly with existing systems and enabled growth potential. The retailer now operates more efficiently and is able to adapt, expand, and meet customer demands with precision.
